We are currently seeking a highly motivated Support Services Manager for our Charleston, SC office.Summary:
Provides administrative and operational support to the firm's Charleston office. Observes confidentiality in all client matters.Essential Duties and Responsibilities:
Provides assistance to Support Services, Administration, Facilities, and IT teams as needed. Picks up, sorts, and distributes all incoming mail and packages. Operates postage machine, prepares outgoing mail and packages. Delivers outgoing mail to appropriate carrier. Copies documents, case files, or other materials as requested in a timely fashion. Sends, receives, and delivers faxes to recipients in a timely fashion. Sets up and breaks down conference rooms for meetings, mediations, lunches, zoom calls, etc. Ensures copy stations are properly stocked. Ensures break room, meeting spaces, and public areas are properly stocked. Ensures all community areas (public and internal) are wiped down throughout the day. Monitors inventory and orders office and kitchen supplies as needed. Runs firm related errands. Provides reception duties including client service and scheduling. Coordinates and records closed files. Escorts vendors and clients as needed. Communicates with property manager about issues that do not require the involvement of the Facilities Manager. Assigns and monitors parking in the building and aquarium parking garages. Manages access privileges including garage access cards, interior pushbutton locks, and parking validations. Coordinates support services task assignments when out of office. Performs additional responsibilities as needed.Education and Experience Required:
Requires a high school diploma or its equivalent. Prefer at least six months to one year experience in support services, office administration, or related position. Knowledge, Skills, and Abilities Required Ability to organize and prioritize numerous tasks and complete them within timeline requirements. Ability to sort and organize documents for filing and copy jobs. Strong interpersonal skills with the ability to communicate with attorneys, staff, and vendors. General computer skills including Microsoft Office Suite. Basic knowledge of office equipment maintenance and operation. Valid driver's license, proof of insurance, and a clear driving record required. Walking, standing, pushing, pulling, lifting and fine manipulation. Ability to lift boxes up to 40 pounds on a regular basis. Team Involvement Participates in team meetings. Contributes to building a positive team spirit. Projects professional demeanor.
