Job Description
Personal Assistant to the Owner / Office Assistant RedTree Landscape Design Inc. - Fort Mill, South Carolina Job Summary RedTree Landscape Design is seeking a dependable, organized, and resourceful individual to work closely with the company owner and help manage the day-to-day activities of a busy, established small business. This is a full-time, hands-on position combining personal-assistant duties, general office work, customer service, invoicing, estimating support, project research, and occasional local errands. No landscape-design experience is required. We are looking for someone with good common sense, strong organizational skills, confidence using computers, and a willingness to learn. This position is ideal for someone who enjoys variety, takes initiative, and takes pride in keeping a business organized and moving forward. Responsibilities
- Assist the company owner with daily organization, scheduling, follow-up, and administrative responsibilities
- Answer telephone calls and greet customers, vendors, and visitors
- Help operate the front desk and maintain a professional, welcoming office
- Prepare and send invoices for landscape-maintenance and project work
- Assist with estimates, proposals, contracts, and customer correspondence
- Track estimates, approvals, deposits, invoices, and customer payments
- Help organize customer files, photographs, property information, plans, and project documents
- Research and locate plants, construction products, outdoor furnishings, and specialty materials
- Contact vendors to verify pricing, availability, lead times, and delivery information
- Assist with resizing, printing, scanning, and organizing plans and property surveys
- Help assemble project information, material selections, and customer proposal packages
- Schedule appointments, consultations, deliveries, and project meetings
- Make occasional local trips to the bank, suppliers, job sites, and other businesses
- Communicate with customers regarding scheduling, invoices, project information, and routine questions
- Provide general office support for our landscape-maintenance and project divisions
- Help develop and maintain reliable systems for tracking office and project responsibilities Qualifications
- Dependable, punctual, trustworthy, and highly organized
- Able to manage several responsibilities and priorities
- Professional and comfortable communicating with customers
- Strong written and verbal communication skills
- Comfortable working with Apple/Mac computers, email, spreadsheets, printers, and scanners
- Experience with QuickBooks Pro is strongly preferred
- Comfortable learning estimating, invoicing, and other business software

- Able to research products and communicate effectively with vendors
- Willing to take initiative and work independently
- Valid driver's license and dependable transportation
- Previous experience in office administration, invoicing, bookkeeping, estimating, construction, landscaping, or project coordination is helpful Ideal Candidate The ideal candidate is someone who notices what needs to be done and takes responsibility for completing it.
