Job Description
Overview The Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the corporate office. This position is responsible for assisting with daily office functions, data entry, recordkeeping, and providing support to various departments while maintaining a professional and welcoming environment. Essential Duties and Responsibilities Office Administration Greet and assist visitors, vendors, and employees in a friendly and professional manner. Answer and direct incoming phone calls. Maintain a clean, organized, and professional front office. Sort, distribute, and prepare incoming and outgoing mail and packages. Order and maintain office supplies Coordinate service calls for office equipment when needed. Administrative Support Perform accurate data entry into payroll and various software platforms. Enter and maintain daily, weekly, and monthly sales reports. Organize, scan, file, and maintain both electronic and paper records. Assist with document preparation, copying, scanning, and filing. Prepare reports, spreadsheets, and other documents as assigned. Assist with special projects and administrative tasks for management. Financial & Operational Support Make bank deposits and perform other bank-related errands as needed. Ensure confidential information is handled with discretion. General Responsibilities Maintain confidentiality of employee and company information. Prioritize multiple tasks while meeting deadlines. Communicate effectively with employees, managers, and vendors. Perform other duties as assigned to support business operations. Qualifications High school diploma or equivalent required Previous administrative or office experience preferred. Proficiency in Microsoft Office (Word, Excel, Outlook). Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Ability to work independently while managing multiple priorities. Professional appearance and customer service mindset. Valid driver's license with reliable transportation for occasional bank runs and office errands. Clear driving and background check Physical Requirements Ability to sit or stand for extended periods. Ability to lift up to 25 pounds occasionally. Frequent use of a computer, telephone, copier, and other office equipment.
