Job Description

JOB DESCRIPTION
The Academic Affairs Division at Newberry College is seeking a highly organized and proactive Administrative Assistant to support daily operations, assist academic leadership, and ensure smooth coordination across multiple academic programs. This role is central to maintaining an efficient administrative environment and supporting compliance, budgeting, and program management.
JOB FUNCTIONS
Program & Academic Support Assist Department Chairs in Humanities, Social Sciences, Theater/Speech, and Science Programs with a wide range of administrative tasks, projects, and communications. Includes purchasing, travel reimbursement, and other tasks as detailed below. Operational & Organizational Duties Maintain organization across the Humanities, Social Sciences, Theater/Speech, and Science Programs, including files, schedules, departmental resources, and shared documents. Assist with budget tracking and documentation, expense reports, and financial processing tasks. Job Functions Meets all deadlines as indicated by supervisor. Works with department chairs to develop and maintain accurate, realistic, timely, and fiscally sound budgets. Reconciles budgets monthly. Submits budget updates to the Director monthly. Assist faculty search committees with application materials. Order and maintain office supplies - include name tags, business cards, and keys. Take minutes at regular division meetings. Submit work requests to Facilities as needed. Communication and planning for internal/external meetings, events, conferences, and speakers related to division needs. Coordinate with deans to make offices ready for new faculty. Assist with Commencement, Convocation, and other College events as needed. Other duties to support academic operations as defined by the department chairs.
EDUCATIONAL OR OTHER HIRING REQUIREMENTS FOR THE POSITION
Strong organizational and multitasking skills. Excellent written and verbal communication. Proficiency with Microsoft Office and basic data management. Ability to work independently, take initiative, and support multiple leaders. Experience in higher education administration is a plus but not required. Associate degree required; Bachelor's degree preferred, with at least two years of administrative experience, or an equivalent combination of education and experience.
