We are seeking an experienced Office Administrator who is passionate about helping others and thrives in a fast-paced healthcare environment. Position Summary The Office Administrator is responsible for the daily administrative operations of the practice, ensuring clients receive exceptional service while supporting clinicians with scheduling, insurance verification, billing, and office management. This position requires excellent organizational skills, professionalism, confidentiality, and attention to detail. Essential Duties and Responsibilities Client Services
  • Welcome clients and families with professionalism and compassion.
  • Answer incoming telephone calls and respond to client inquiries.
  • Schedule, reschedule, and confirm appointments.
  • Assist clients with completing paperwork and required consent forms.
  • Maintain a positive and supportive client experience from initial contact through ongoing care. Electronic Health Records (EHR)
  • Manage client information using an Electronic Health Record (EHR) system such as
  • Simple Practice
  • , •TheraNest •, or a similar platform.
  • Create and maintain accurate client records.
  • Upload and organize clinical documents.
  • Monitor provider schedules and appointment availability.
  • Ensure documentation complies with HIPAA and agency policies. Insurance Verification & Authorizations
  • Verify commercial and Medicaid insurance eligibility before appointments.
  • Obtain and track prior authorizations when required.
  • Explain insurance benefits, deductibles, copayments, and client financial responsibilities.
  • Maintain documentation related to insurance eligibility and authorizations. Billing & Payments
  • Collect copayments, deductibles, and outstanding balances.
  • Process payments using the practice's secure payment platform.
  • Review of billing information for accuracy.
  • Assist with claim submission and follow up on denied or unpaid claims.
  • Work with clients regarding payment plans when appropriate. Administrative Responsibilities
  • Maintain office supplies and inventory.
  • Prepare reports and maintain office records.
Pay:
$21.00 - $24.00 per hour
