Job Summary We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will serve as the backbone of our administrative operations, ensuring smooth communication, efficient office management, and exceptional customer support. Your proactive approach and technical proficiency will help foster a productive environment where team members can thrive. Responsibilities Manage multi-line phone systems with professionalism and courtesy, directing calls accurately and efficiently. Perform data entry and maintain detailed records using spreadsheets, Microsoft Office applications, and specialized software like QuickBooks Online. Handle front desk duties including greeting visitors, managing appointments, and providing excellent customer service. Organize and file documents systematically to ensure easy retrieval and compliance with company policies. Assist with office management tasks such as supply inventory, scheduling meetings, and coordinating administrative activities. Support client communication by preparing correspondence, proofreading documents, and ensuring clarity in all written communication. Utilize computer skills for word processing, creating reports, and maintaining organizational systems to boost overall productivity. Experience Prior clerical or administrative experience in an office environment is required; experience as a personal assistant or in office management is highly valued. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data organization. Strong computer literacy including technical proficiency with office productivity software and data entry tools such as QuickBooks Online. Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively. Bilingual ability is a plus to support diverse client interactions and team communication. Proven customer service skills with a friendly phone etiquette approach to client support and front desk responsibilities. Experience with office equipment such printers, and scanners is important.
