Employment is contingent upon a Criminal Justice Fingerprint/ground Clearance, paid for by the applicant. The job of Administrative Assistant - Middle School is done for the purpose/s of providing administrative support to school-site principal, other administrators, counselors, and PTA; conveying information regarding school functions and procedures; ensuring compliance with site's financial, legal and administrative requirements; and overseeing office activities. This job reports to Building Principal Essential Functions Administers first aid and medication to students who are under the direction of health professional as assigned (e.g. scrapes, bruises, fevers, head lice checks, etc.) for the purpose of meeting their immediate health care needs. Compiles data from a wide variety of sources (e.g. time sheets, attendance, supply requests, calendar entries, etc.) for the purpose of complying with financial, legal and/or administrative requirements. Coordinates a wide variety of programs and/or activities (e.g. site meetings, 7th grade orientation night, open house, conferences, Award night, travel requests, reimbursements, grade/behavior reports, parent/teacher conferences, IEP meetings, etc.) for the purpose of meeting program and/or activity requirements in compliance with established guidelines. Diffuses potentially hazardous situations within the school site (e.g. angry parents, child custody situations, etc.) for the purpose of taking action and/or directing to appropriate personnel for resolution. Distributes a variety of items (e.g. mail, purchase order materials, printing, warehouse supplies, etc.) for the purpose of disseminating materials and/or information as appropriate. Greets visitors (e.g. public, parents, students, etc.) for the purpose of responding to their inquiries and/or directing them to appropriate personnel in accordance with District policies regarding building security. Maintains inventory of supplies and materials (e.g. all instructional supplies, office supplies, etc.) for the purpose of ensuring availability as needed. Maintains a variety of manual and electronic documents, files and records (e.g. administrative records, building keys, locker list of combinations for students, office procedures, all forms, building personnel records, teacher attendance records, student files, schedule of appointments, student phone lines, etc.) for the purpose of providing reliable reference and/or meeting state, federal and administrative requirements. Monitors account balances and financial transactions (e.g. general fund school budget, account expenditures, purchase order documentation, petty cash, school activities/program, Trust and Agency account, etc.) for the purpose of maintaining accurate records in compliance with accounting and record keeping practices. Monitors student activities (e.g. office, halls, lunch room, student athletic events, etc.) for the purpose of maintaining a safe environment conducive to learning. Orients new site personnel (e.g. substitutes and staff ) regarding appropriate school and district practices (e.g. keys, folders, directions, building procedures, etc.) for the purpose of effectively assimilating new/substitute personnel into site operations. Oversees office staff and volunteers, for the purpose of ensuring appropriate procedures are followed and/or meeting work demands. Prepares written materials (e.g. budgets, memos, letters, handbooks, discipline reports, instructional materials, weekly and monthly calendars, monthly school mailings, certificates and awards for student achievements, etc.) for the purpose of documenting activities, providing written reference and/or conveying information. Processes a variety of documents and materials (e.g. registering and transferring students, grades, honor roll, payroll, substitute time sheets, report cards, daily attendance, work orders, data entry and create reports on DistrictÆs current student software program, etc.) for the purpose of disseminating information/items as appropriate. Responds to inquiries (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, distributing information, facilitating communication among parties, scheduling appointments and meetings and/or referring to appropriate personnel. Supports assigned administrative personnel, counselors and instructional staff (e.g. troubleshoot and assist staff with computer, software, and printer problems, developing spreadsheets, operating office equipment, answering telephone, etc.) for the purpose of providing assistance with their administrative functions and teaching duties. Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment.
Job Requirements:
Minimum Qualifications Skills, Knowledge and Abilities SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent software applications; planning and managing projects; performing basic bookkeeping; administering first aid; and preparing and maintaining accurate records.
KNOWLEDGE
is required to perform basic math, including calculations using fractions, percents, and/or ratios; understand written procedures, write routine documents, and speak clearly; and analyze situations to define issues and draw conclusions. Specific Knowledge based competencies required to satisfactorily perform the functions of the job include: concepts of grammar and punctuation; bookkeeping principles; business telephone etiquette; common office machines; pertinent laws, policies, and regulations; and office methods and practices. ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with similar types of data; and utilize job-related equipment. Problem solving is required to analyze issues and create action plans. Problem solving with data may require independent interpretation; and problem solving with equipment is limited. Specific Ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; establishing and maintaining effective relationships (including with children); maintaining confidentiality; meeting deadlines and schedules; setting priorities; and working with constant interruptions. Working Environment The usual and customary methods of performing the jobs functions require the following physical demands: some lifting, carrying, pushing, and/or pulling and significant fine finger dexterity. Generally the job requires 60% sitting, 30% walking, and 10% standing. The job is performed in a generally hazard free environment.
