Overview We are seeking a dynamic and highly organized Executive Administrator to join our team and support our senior leadership. This vital role involves managing complex schedules, coordinating projects, and ensuring seamless office operations. The ideal candidate will bring energetic enthusiasm, exceptional organizational skills, and a proactive approach to handling confidential information. As an integral part of our organization, you will facilitate internal communication, assist with event planning, and provide comprehensive administrative support to executives, enabling them to focus on strategic priorities. Duties Manage and coordinate executive calendars, including scheduling meetings, appointments, and business travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace. Serve as the primary point of contact for internal communication between executives and staff, ensuring clear and timely information flow. Organize and facilitate company events, meetings, and conferences from planning stages through execution, including logistics and onsite support. Handle bookkeeping tasks such as invoicing, data entry in QuickBooks, and maintaining accurate financial records. Prepare professional correspondence, reports, presentations, and proofreading documents to ensure clarity and accuracy. Assist with project coordination by tracking deadlines, managing documentation via productivity software like Microsoft Office and collaboration tools such as Google Workspace. Support executive team members with personal assistant duties including phone etiquette, managing confidential information, and handling business travel arrangements with attention to detail. Qualifications Proven experience in office management or administrative roles with a focus on executive support or personal assistant responsibilities. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and video conferencing software such as Zoom or Microsoft Teams. Demonstrated ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment. Excellent organizational skills with the ability to coordinate projects from inception to completion. Exceptional written communication skills for proofreading, transcription, and internal correspondence. Experience with bookkeeping software like QuickBooks and familiarity with basic bookkeeping practices. Skilled in event planning, calendar management, data entry, filing systems, multi-line phone systems, and office front desk operations. Ability to handle confidential information discreetly while demonstrating professionalism through phone etiquette and customer service excellence.
