Job Description
Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. In this position, you will be the backbone of our office environment, ensuring smooth administrative processes and a welcoming atmosphere for clients and staff alike. Duties Transaction Coordination Manage real estate transactions from contract to closing Client Relationship Management Maintain and update client databases and contact records Assist with client appreciation programs and follow-up initiatives Organize marketing and client outreach lists Support long-term relationship management and customer service efforts Marketing & Administrative Support Assist with newsletters, mailers, pop-bys, and client events Support social media and website updates Prepare office materials, forms, and marketing supplies Coordinate ordering of office and event supplies Assist with ongoing marketing campaigns and annual planning initiatives Communicate with clients, agents, lenders, title companies, and vendors throughout the transaction process Send welcome and closing communications to clients Track important deadlines, inspections, earnest money deposits, and closing timelines Coordinate scheduling for closings, inspections, and related appointments Collect and organize required transaction documents Maintain accurate records in CRM and transaction management systems Submit files for broker compliance review Update transaction statuses and client information in internal systems Requirements To be considered for this position, please respond with the word "turtle" in the subject line.
