Job Description

The Front Office Coordinator serves as the primary liaison for customers and supports the administrative, financial, and logistics functions of the company. This role balances high-volume administrative tasks while supporting field operations, service departments, and bookkeeping functions. Key Responsibilities Front Office, Service & Administration Reception & Communication Greet visitors via the front office window. Manage the main phone line, screen calls, and route calls to the appropriate division (Plumbing, Electrical, Dirt Work, or General Contracting). Service Operations Handle service job billing and collections. Schedule service technicians. Review timecards for accuracy. Field Support Move AIA billing and job setups through the appropriate process. Apply for and obtain city permits. Financial Support Perform service hours data entry. Process credit card payments. Create purchase orders (POs). Conduct bank runs as needed. Logistics & Mail Coordinate incoming and outgoing mail and overnight packages. Manage the city permit process. Procurement & Inventory Purchase office supplies. Maintain inventory for the office snack machine. General Support File and maintain company records. Provide administrative assistance to management and field personnel. Maintain a clean and professional lobby area. Accounts Payable Support Create new vendors and attach insurance documents as directed by the Office Manager. Match accounts payable invoices to purchase tickets and scan documentation. Review vendor statements and report missing invoices to Foundation. Performance Goals Maintain excellent customer service through professional communication and customer routing. Ensure accurate scheduling and coordination of service operations. Achieve 100% accuracy in payroll data entry and billing collections. Assistant Construction Bookkeeper Timeframe:
0-2 Years in Position Maintain high levels of customer satisfaction through excellent customer service. Develop strong administrative and organizational skills. Master service billing, purchase order creation, accounts payable support, and payroll data entry. Gain financial and accounting knowledge to prepare for advancement into bookkeeping and accounting roles. QualificationsExperience 2+ years of experience in a professional office environment. Experience in customer service, administrative support, or office coordination preferred. Technical Skills Proficiency in Microsoft Office 365 (Outlook, Word, Excel). Experience with credit card processing systems. Experience with service scheduling software preferred. Soft Skills Exceptional multitasking and organizational abilities. Professional demeanor for front-office and telephone interactions. Strong communication and customer service skills. Ability to prioritize and manage multiple responsibilities in a fast-paced environment. Physical Requirements Ability to sit at a desk for extended periods. Ability to occasionally lift and carry office supplies and files.
Pay:
$17.00 - $20.00 per hour Expected hours: 40.0 per week
