Operations Manager & Executive Administrative Assistant Part-Time | 25 hrs/week | Reports directly to Executive Director
POSITION SUMMARY
Decisions Choices & Options is seeking a highly organized, relationship-oriented Operations Manager & Executive Administrative Assistant. This person serves as the right hand to the Executive Director — keeping operations running, donors engaged, and the organization moving forward with excellence. The ideal candidate loves both people and systems and thrives in a mission-driven environment.PRIMARY ROLE
—EXECUTIVE DIRECTOR SUPPORT
This role exists first and foremost to support the Executive Director. Manage the Executive Director's calendar, scheduling, and daily priorities Draft reports, correspondence, and communications on behalf of leadership Anticipate needs and remove operational barriers before they become problems Handle confidential matters with discretion and professionalism Serve as a trusted extension of leadership across staff, donors, and partnersDONOR RELATIONS
Serve as a warm, professional point of contact for donors and ministry partners- Write and send personalized thank you notes and donor acknowledgment letters
- Maintain the donor database — gifts, records, reporting, and giving trends
- Support fundraising campaigns, donor outreach, and stewardship efforts
SYSTEMS & OPERATIONS
Build out and maintain the backend of organizational systems and platforms- Create templates, processes, and standard operating procedures
- Manage shared digital files, tools, and internal platforms
- Identify inefficiencies and implement practical solutions
STAFF & EVENT SUPPORT
Coordinate internal communications, staff meetings, and training logistics- Support onboarding of new team members
- Assist in planning and executing fundraisers, donor dinners, and organizational events
- Manage event logistics — RSVPs, timelines, vendor coordination, and day-of execution
QUALIFICATIONS
3+ years in administrative, operations, or nonprofit support- Strong written communication — professional, warm, and clear
- Experience with donor databases or CRM systems (Bloomerang, DonorPerfect, or similar)
- Proficient in Microsoft Office and/or Google Workspace
- Organized, detail-oriented, and able to manage multiple priorities independently
- Trustworthy with confidential information
- Connection to faith community and ministry culture preferred
- Deep alignment with the mission of Decisions Choices & Options is essential
HOURS & SCHEDULE 25
