WHY THIS POSITION EXISTS
The Administrative Intern will support pre-event planning, on-site operations, and internal coordination during race weekends. This role focuses on logistics, staff support, and administrative execution to ensure a smooth, organized and professional event experience. This internship provides hands-on experience in a fast-paced sports and event environment, offering opportunities to develop new skills and make a meaningful contribution to the NSS team across multiple high-impact projects. Work hours and focus areas are flexible based on availability, skills, and interests. The ideal candidate will adopt a GLOBE mentality. GLOBE stands for Generously Lending Our Best Efforts. NTT INDYCAR SERIES
race week and weekend (July 18-19, 2026), contingent upon staffing needs and workload demands.KEY RESPONSIBILITIES
but not limited to :- Coordinate food ordering, deliveries and catering arrangements for event staff
- Assist with planning and setup of the Owner s Suite
- Support coordination and maintenance of Owner s Suite invitation lists
- Prepare guest access packages and Know Before You Go event communications
- Create and maintain event supply inventories and event checklists
- Assist with competition motorcoach reservations and prepare related access packages
- Create various event materials, presentations, maps and facility access documents
- Support pre-event meetings, including preparation of materials and logistics
- Conduct independent research on vendors, gift items, event support groups and best practices as assigned
- Assemble and distribute welcome bags for event staff
- Assist with hotel coordination and vehicle rentals for event support staff as needed
- Support general administrative needs including spreadsheet maintenance and expense reports, etc.
- Provide on-site administrative support during race weekend
- When needed, the Administrative Intern will assist the Corporate Sales Intern with event preparation, hospitality support and guest-facing initiatives
REQUIREMENTS
- Strong communication skills (written, verbal, and telephone)
- Self-motivated individual who proactively seeks additional responsibilities upon project completion
- Strong hospitality and customer service skills with a willingness to assist wherever needed
- Ability to work effectively in a fast-paced, team-oriented environment
- Exceptional organizational skills with strong attention to detail
- High level of professionalism and dependability; ability to represent NSS positively at all times
- Proficiency in Microsoft Word, Excel, and PowerPoint; Canva and/or CAD experience is a plus
- Positive attitude: work hard, stay flexible, and enjoy the experience
PHYSICAL & WORK ENVIRONMENT REQUIREMENTS
- Ability to work both in an office setting and outdoors in varying weather conditions
- Ability to lift and move items weighing up to 20 pounds
- Valid driver s license required (Motor Vehicle Record check required)
- Ability to use a personal vehicle for local pickups or deliveries, approved mileage and travel expenses will be reimbursed
GROWTH FROM THIS POSITION
- Developing best practices for largescale event operations
- Understanding day-to-day administrative workflows and event-mode execution
- Learning how the Administration department collaborates with all departments in event planning and logistics
- Gaining insight into accounting practices, budget tracking, and expense management
- Understanding the importance of administrative procedures and protocols in supporting successful events
