We are looking for a Management Assistant This position will be based at the Southaven Distribution Center, in Southaven, MS. Work schedule is Monday-Friday 6:30am-3:30pm. The Management Assistant provides comprehensive administrative and operational support to site leadership while serving as a key point of contact for employees, visitors, contractors, and external stakeholders. This position plays a critical role in maintaining efficient office operations, safeguarding confidential information, coordinating communications, and supporting daily business activities. The Management Assistant serves as the facility gatekeeper, ensuring appropriate visitor access and maintaining a professional and secure environment. You will make an impact by: Provide administrative support to site leadership, including calendar management, meeting coordination, correspondence preparation, and document management. Serve as the primary point of contact for visitors, vendors, contractors, and guests entering the facility. Manage visitor sign-in procedures and ensure compliance with site security and access requirements. Perform Visitor Safety Training and update the electronic EHS vendor log daily. Assist in first-day orientation (taking personnel pictures and issuing temporary access badges). Coordinate communications and direct individuals to the appropriate departments or personnel. Maintain accurate records, reports, files, and administrative documentation. Assist in the preparation of presentations, reports, spreadsheets, and other business documents. Coordinate travel arrangements, meeting logistics, and special events as needed. Order and maintain office supplies and ensure administrative resources are available. Support operational and leadership initiatives while maintaining the highest levels of professionalism and discretion. Perform other administrative duties as assigned.
