Administrative Assistant About This Role Customer Service experience is required. You will be the first line of contact and will represent our business as people come in and/or call in. You will be communicating with clients and prospective clients by phone, email and in-person on a daily basis and will serve as the general liaison between our team and the public/clients. Answering phones, collecting & organizing documents from clients, and collecting payments are just a few of the tasks this team member will tackle. Miscellaneous tasks throughout the office would be your responsibility, such as taking out the trash as needed, cleaning/tidying up the office during downtime, and keeping things overall presentable. Essentially anything our team needs assistance with in the office, you'd be our go-to person! Several odd tasks would come up along the way. What We're Looking For You must be good with people both on the phone and in-person, positive and upbeat. We are a professional office and it is very important that every person on our team understands the importance of professionalism as well as the importance of confidentiality. We are searching for someone reliable, who we can count on to work their normal schedule each week. This includes being on time in the morning, returning from lunch on time, and staying until close. Must have outstanding attendance values. We would love to find a self-starter who has good instincts and can pick up on new tasks quickly, and who can work efficiently without supervision being needed to do a great job. Must take pride in all work you do, even the more mundane tasks. We have documented processes for most things, and it's very important that the processes be followed as directed, when applicable. Training will be provided. Excellent written and verbal communication skills are required, as you'll be communicating with clients and with our internal team in both writing and verbally everyday. Candidates will need to be comfortable with computers and be able to learn new programs. The programs we use daily are MyCase, Microsoft Outlook and other Microsoft programs, and Grasshopper for phones. An understanding of Artificial Intelligence and how it can help with administrative tasks is a plus. Who We Are We are a Legal Practice and a Tax Practice under one roof. The majority of the time, this role will handle the Legal Practice's needs, but during tax season this role will handle the needs of both practices simultaneously (January-April). Our office and team have great morale. We are a small and tight knit business. If you work for us, we consider you part of the family. Requirements
  • Customer Service experience is required.
  • Must be a self starter and take pride in all work you do, even the somewhat mundane tasks.
  • Must be good with people both on the phone and in-person, positive and upbeat.

  • Must be comfortable with computers and able to learn new programs.
  • Understanding of Artificial Intelligence and how it can help with administrative tasks is a plus.
  • This is an in-office position only.
What You Can Expect The expected schedule is Monday, Tuesday and Friday OR Monday, Thursday and Friday (your choice); 8:00am-5:00pm with a lunch break daily from 12:00pm-1:00pm.
