Job Description
We're looking for a highly organized, tech‑savvy, people‑friendly Personal Assistant to support the owner of a growing Med Spa. This role is perfect for someone who enjoys variety, thrives in a fast‑paced environment, and loves helping a business run smoothly behind the scenes. You'll work closely with the owner to keep daily operations flowing — from reception support to calendar management to customer outreach. If you're dependable, proactive, and comfortable juggling multiple tasks, you'll fit right in.
Key Responsibilities:
Administrative & Organizational Support Manage and coordinate multiple calendars (owner, staff, meetings, vendor appointments) Check, organize, and respond to emails on behalf of the owner Assist with schedule management and time‑blocking Prepare documents, notes, and digital files as needed Support with general computer work, data entry, and online organization Front Desk & Client Support Assist with reception duties during busy hours Greet clients and provide a warm, professional experience Help with appointment confirmations, rescheduling, and follow‑ups Support customer service communication via phone, text, and email Outreach & Communication Assist with customer outreach (follow‑ups, reminders, satisfaction check‑ins) Support partner/vendor outreach and communication Help maintain positive relationships with local businesses and collaborators Online & Digital Management Assist with website updates, online booking systems, and digital platforms Help manage online listings, profiles, and basic content updates Support social media tasks Qualifications 2 years of Admin experience 2 years customer service experience High school diploma or GED Strong organizational and multitasking skills Excellent written and verbal communication Comfortable with technology, email platforms, and online tools Professional, friendly, and calm under pressure Experience in a customer‑facing role is a plus Ability to maintain confidentiality and professionalism at all times What We're Looking For Someone who is: Reliable and self‑motivated Detail‑oriented with strong follow‑through Warm, welcoming, and customer‑focused Able to anticipate needs and stay one step ahead Flexible and comfortable with shifting priorities Schedule & Compensation Flexible schedule depending on business needs Pay based on experience Opportunity for growth within the spaPay:
