This role provides visibility across all project phases by maintaining reliable data, coordinating cross-functional inputs, and aligning operations, stakeholders, and customers. The role enables efficient execution by keeping documentation and tracking tools up to date, ensuring risks and issues are identified and resolved, and maintaining effective communication. Success is measured by the accuracy and timeliness of project information, the reliability of reporting, and the effectiveness of coordination supporting on-time delivery. Accountabilities (not all-inclusive) Project and production data is complete, structured, and maintained with ≥98% accuracy, enabling reliable decision-making. Internal and customer communications are delivered within agreed timelines, with minimal clarification required. All trackers (e.g., monthly production tracker) are updated on time and reflect real-time status, with no missed reporting deadlines. Risks, issues, and action items are clearly logged, tracked, and followed through to closure within agreed timelines. Standard processes, templates, and documentation practices are consistently followed across projects. Dependencies between teams are proactively managed, minimizing delays caused by misalignment or missing information. Positive feedback from internal teams and customers, with no recurring escalations related to communication or coordination gaps. Responsibilities Maintain and update daily production status, ensuring accuracy and visibility of progress against plan. Maintain the shipping log, ensuring all shipments are accurately recorded, tracked, and communicated. Organize and ensure proper filing of travelers and inspection records to support traceability and compliance requirements. Track all project-related data (materials, production status, documentation, and actions) to support execution and full traceability. Coordinate communication between the two REV facilities to ensure alignment on priorities, schedules, and deliverables. Communicate project status, updates, and key information to customers as required. Support project execution by tracking action items, risks, and issues, and following up to ensure timely resolution. Maintain and update project documentation, trackers, and records to ensure consistency and reliability of information. Participate in continuous improvement initiatives within a Lean manufacturing environment, contributing to process efficiency and standardization. Assist in planning and coordination activities to support on-time project delivery. Perform other related administrative and coordination tasks as assigned by the manager. Qualifications Degree or diploma in Business Administration or a related field, or an equivalent combination of education and hands-on experience. Minimum of 5 years of administrative experience, preferably supporting projects or operations in a manufacturing environment. Strong proficiency in Microsoft Office 365, particularly Microsoft Excel (including creating and troubleshooting formulas, managing datasets, and maintaining trackers). Proficient in professional communication using Microsoft Outlook, including email management and meeting coordination. Experience maintaining project trackers, schedules, and documentation with a high degree of accuracy. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Ability to coordinate across cross-functional teams and follow up on action items to closure. Attention to detail and commitment to data accuracy and consistency. Basic understanding of manufacturing processes and project environments is an asset. Ability to read and interpret basic project documentation (e.g., schedules, work orders, or build documentation) is an asset.
