In this vital role, you will oversee daily office operations, coordinate administrative tasks, and ensure a smooth and efficient work environment. Your proactive approach will support team members, manage schedules, handle vendor relationships, and contribute to the overall success of our organization. Responsibilities Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and warmth. Coordinate scheduling for meetings, appointments, and events while ensuring all calendars are up-to-date and conflicts are minimized. Oversee vendor management by establishing relationships, negotiating contracts, and ensuring timely delivery of supplies and services. Supervise administrative staff or interns, providing training and development opportunities to foster team growth. Handle bookkeeping tasks such as invoicing, expense tracking, and basic payroll processing using QuickBooks or similar software. Support human resources functions including onboarding new employees, maintaining personnel files, and assisting with employee communication. Assist with office budgeting and inventory management to optimize resource allocation and reduce costs. Organize filing systems—both digital and physical—to ensure easy access to important documents such as medical records or legal files. Contribute to event planning efforts for company meetings, team-building activities, or community outreach initiatives. Requirements Proven experience in office management or administrative roles within a professional setting. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Excellent communication skills—both verbal and written—with a professional phone etiquette. Demonstrated supervisory experience leading teams or managing projects effectively. Proficiency in QuickBooks for bookkeeping and payroll functions; familiarity with other office software is a plus. Experience with vendor management, contract negotiation, and budget oversight. Knowledge of human resources procedures including onboarding processes and employee relations. Ability to handle clerical tasks such as filing, calendar management, and document preparation with accuracy. Prior experience in medical office management or similar healthcare settings is desirable but not required.
