We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support our Owner and Project Manager while helping keep our operations running efficiently. What You'll Do Administrative & Executive Support Manage calendars, appointments, meetings, and scheduling for company leadership. Monitor and respond to emails, phone calls, text messages, website inquiries, and other communications. Prepare, organize, and maintain documents, reports, spreadsheets, records, and business correspondence. Coordinate travel arrangements, meeting preparation, and event logistics. Project Coordination Assist with planning, tracking, and coordinating projects from initiation through completion. Maintain project documentation and ensure project management systems remain accurate and up to date. Follow up on outstanding tasks, approvals, deadlines, and action items. Coordinate communication between team members, vendors, clients, contractors, and business partners. Support project scheduling, vendor coordination, and procurement of quotes and services. Client & Customer Support Respond professionally to client inquiries regarding services, scheduling, deadlines, billing, and project status. Provide exceptional customer service and maintain positive relationships with clients and partners. Assist with resolving client concerns and coordinating solutions internally. Ensure client records and project files remain organized, complete, and current. Operations Support Maintain company databases, contact lists, filing systems, and records. Identify inefficiencies and recommend process improvements. Assist with special projects and company initiatives as assigned. Support daily office operations and help ensure work is completed accurately and on time. What We're Looking For Qualifications High School Diploma or GED. Associate's or Bachelor's Degree in Business Administration, Communications, Marketing, Management, or a related field. Previous experience as an Administrative Assistant, Executive Assistant, Office Manager, Project Coordinator, or similar role. Strong organizational, communication, and multitasking skills. Ability to manage multiple priorities in a deadline-driven environment. High level of professionalism, discretion, and confidentiality. Strong attention to detail and commitment to quality work. Proficiency with Google Workspace (Gmail, Docs, Sheets, Drive, Calendar). Reliable transportation and dependable attendance. Experience working in a small business or fast-paced environment. Experience with bookkeeping, invoicing, office administration, or business operations. Familiarity with ClickUp or other project management software.
