Job Description

Job Overview We are seeking an energetic and highly organized Front Office Coordinator to be the welcoming face and administrative hub of our busy office. In this role, you will manage front desk operations, coordinate communication flows, and support daily administrative functions to ensure a smooth and efficient workplace. Your proactive attitude and exceptional organizational skills will help foster a positive environment for staff, visitors, and clients alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team. Responsibilities Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive first impression. Manage multi phone systems, screen calls, and direct inquiries efficiently using excellent phone etiquette. Handle scheduling tasks such as calendar management and appointment setting for the BCBA and team members. Maintain organized filing systems, including digital files via One Drive/Smartsheet and productivity software like Microsoft Office (Excel, Word, etc.) Perform data entry tasks accurately using computer literacy skills, for our current EMR systems. Support office management duties such as maintaining an accurate cleaning supply inventory, mail distribution, and maintaining cleanliness of all office areas. Cleanliness includes but not limited to discarding of trash, basic sweeping/mopping, picking up toys, etc. Provide customer support by addressing inquiries promptly and professionally while ensuring confidentiality. Maintain HIPPA protocols. Keeping the BCBA engaged with their daily/weekly calendar and modifying their schedule as needed in our EMR system based off the BCBA's predetermined guidelines. Note auditing, ensures staff/parent signatures are signed in a timely manner. Audits notes to ensure they meet insurance criteria for billing purposes. Ensures staff has all materials needed for their sessions (flash cards, printing materials, etc.) Maintains referral log. Follows up with prospective families. Attends community events when needed throughout the year. Maintains attendance/supervision logs. Participates in administrative clinical support duties (ex. printing programs for parent therapy binders, laminating visuals, preparing reinforcement materials, organizing assessments, assembling client packets, etc.) Ensures positive client experience by scheduling tours, proper intake paperwork, graduation certificates, birthday cards, reminder calls, parent news letters, satisfaction surveys, etc. Requirements Bilingual abilities are required to assist diverse client/parent needs. Proven experience in office management or administrative roles with strong clerical skills. Familiarity with multi-line phone systems, data entry, filing, and general office software including Microsoft Office and One Drive. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong customer service orientation with professional phone etiquette and interpersonal skills. Experience in medical receptionist roles is a plus but not required; relevant personal assistant experience is valuable. Technical proficiency with office equipment such as printers, scanners, and basic troubleshooting. Ability to handle confidential information discreetly while maintaining high productivity levels. Fixed Monday to Friday 8:00 am to 5:00 pm (12:00 pm•1:00 pm Lunch) a must to be considered. Join us as a Front Office Coordinator to be the friendly face that keeps our office running smoothly!
