Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and exceptional support to staff and clients alike. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately. Maintain organized filing systems, both physical and digital, including data entry and document proofreading to ensure accuracy. Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings. Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations. Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices. Provide exceptional customer service by responding promptly to inquiries via phone or email, supporting clients or patients as needed. Perform clerical duties including copying, scanning, faxing, and maintaining office supplies inventory. Support specialized roles such as medical or dental receptionist duties when required, including patient scheduling and record keeping. Demonstrate strong organizational skills by managing multiple priorities efficiently while adhering to deadlines. Qualifications Proven office experience with a solid understanding of administrative procedures and office management practices. Excellent computer literacy with proficiency in Microsoft Office (Word, Excel) etc. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Exceptional communication skills with a professional phone manner and good customer service orientation. Bilingual abilities are a plus to assist diverse client needs effectively. Experience with clerical tasks such as filing, proofreading, calendar management, and document preparation. Previous experience in medical or dental reception is advantageous but not required; training will be provided if needed.
