Job Description

Our client is in need of a Project Assistant to support day-to-day operations for a busy construction project team in Texas. This position is ideal for someone who thrives in a fast-paced site environment, enjoys keeping teams organized, and can balance administrative coordination with responsive support. The role will help maintain efficient office workflows, support meetings and travel planning, and ensure project staff, visitors, and vendors receive attentive assistance throughout the project lifecycle.
Responsibilities:
  • Support daily office operations for the construction site team by handling administrative activities that keep project work moving efficiently.
  • Deliver courteous and attentive assistance to team members, clients, vendors, and visitors while responding to general questions and escalating issues when needed.
  • Prepare and submit expense documentation for project leadership, ensuring records are accurate and completed on time.
  • Coordinate project logistics such as calendars, meeting spaces, seating plans, parking or access credentials, and other site-based administrative resources.
  • Arrange travel plans, lodging, schedules, and related materials for project staff and leadership as required.
  • Organize meetings from start to finish, including scheduling, agenda support, room setup, note-taking, and distribution of meeting summaries.
  • Maintain orderly project files and records, support document retrieval, and help keep office supplies stocked for daily site needs.
  • Assist with onboarding, site orientation, visitor procedures, special events, and occasional technical support coordination for issues affecting workplace productivity.
  • Contribute ideas that improve administrative processes and provide flexible support for additional project-related assignments as needed.
