The Administrative Assistant II, Dual Credit provides comprehensive administrative support to the Dual Credit department and designated leadership. This position coordinates the organization, maintenance, and administration of departmental operations sees as a key point of contact for students, faculty, staff, and external partners while supporting programs that serve dual credit students.Minimum Required Education:
High school diploma or equivalentPreferred:
Associate's degree or higher, or a combination of education and experience that provides the required knowledge, skills, and abilitiesMinimum Required Experience:
Two (2) to five (5) years of clerical, general office, or administrative support experience Work experience in secondary or higher education, preferably in a student services-related areaCore Duties and Required Knowledge:
Perform general administrative support functions including coordinating appointments; answering and directing phone calls; typing correspondence; filing and maintaining records; ordering and maintaining supplies; maintaining calendars; and greeting visitors, faculty, staff, and students. Maintain promotional and informational materials to ensure they are well-stocked, organized, and presented in a welcoming environment. Maintain and manage an up-to-date departmental calendar, including room and event usage. Assist with distribution, tracking, and data entry related to departmental or divisional processes (e.g., parking decals, background check forms). Assist with the production and distribution of student and faculty/staff identification cards. Assist with departmental projects, services, and activities to support the specific operational needs of the Dual Credit department. Support departmental budget processes by preparing purchase requisitions and submitting invoices for payment in accordance with institutional procedures. Assist with programs, meetings, and events hosted by the department, the college, and/or student groups. Provide guidance to students seeking information regarding Hill College services, programs, and educational resources. Provide administrative support to departmental staff and leadership as needed. Submit and track IT, maintenance, and other support tickets for the department and/or department lead. Maintain working knowledge of departmental mission, purchasing processes, ERP systems, and general office practices. Uphold and support the Hill College mission, vision, values, and standards of conduct while ensuring compliance with institutional policies and procedures.Strategic Vision and Program Development:
Support the effective delivery of Dual Credit services through accurate administrative processes and organized documentation. Contribute to a positive experience for students, faculty, and partners engaged in Dual Credit programming. Assist in maintaining efficient workflows that support institutional accountability and student success.Collaboration:
Work collaboratively with Dual Credit leadership, faculty, staff, and campus partners. Participate on institutional committees as assigned. Provide professional and responsive service to students and stakeholders across the district. Light work: exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects, including the human body.
