Prime Real Estate is seeking a friendly, organized, and proactive Administrative Assistant to serve as the first point of contact for the company, creating a welcoming and professional experience for all clients, agents, vendors, and visitors while supporting the overall success of the office. Key Responsibilities Greet incoming clients with a positive, helpful, and professional demeanor. Answer, screen, and route incoming calls from clients, tenants, property owners, and vendors. Utilize calendars, schedule appointments, and coordinate conference room scheduling for agents and clients. Assist with general administrative and front office tasks. Prepare, review, organize, and file real estate and mortgage-related files and documents. Maintain and update client databases, property files, and office records. Provide general clerical support such as filing, scanning, and correspondence management. Assist with marketing initiatives such as social media content and preparing promotional materials. Assist with property management operations, including tenant communications, document processing, and administrative support. Support day-to-day operations for both a mortgage company and a real estate broker's office. Demonstrate strong problem-solving skills while managing multiple priorities. Ensure smooth daily office operations so agents can focus on client service and sales. Provide additional office support as needed. Manage incoming and outgoing mail, packages, and deliveries. Ensure compliance with company policies and document retention procedures. Manage and maintain inventory of office supplies and real estate equipment. Process and distribute incoming leads to appropriate agents. Qualifications Previous office, administrative, real estate, or mortgage experience is preferred, but not required Professional appearance and strong verbal and written communication skills Excellent customer service and phone etiquette Highly organized, dependable, and detail-oriented Ability to multitask and prioritize responsibilities effectively Ability to comfortably work with multiple teams and handle varied tasks Proficient with computers and willing to learn new software systems and processes. Proactive and self-motivated, able to take initiative and work independentlyPay:
