Reporting to the Chief of Staff, this position takes ownership of routine office operations, including office and kitchen supplies, building and vendor coordination, company vehicle maintenance, deliveries and shipments, meeting and event support, and other recurring administrative responsibilities. This position is designed for an individual who wants to learn and grow within the organization. As the Office Assistant develops a stronger understanding of the company and demonstrates ownership, reliability, and accuracy, there will be opportunities to take on additional responsibilities and grow within the Administrative team. The ideal candidate is highly organized, dependable, detail-oriented, proactive, and willing to jump in wherever needed. This individual recognizes what needs attention, takes ownership, and follows responsibilities through to completion without requiring constant direction. Essential Duties & Responsibilities Office & Facilities Operations Take ownership of the day-to-day organization, readiness, and general operation of the office. Maintain kitchen and breakroom supplies, including groceries, beverages, coffee, snacks, paper goods, utensils, and other necessities. Maintain paper goods and supplies for common areas and restrooms. Monitor office supply inventory across company locations and proactively reorder supplies as needed. Maintain organized office supply, storage, and spare equipment areas. Coordinate routine building and facility services, including cleaning, lawn care, extermination, dumpster service, and HVAC maintenance. Communicate with office vendors and service providers and coordinate scheduled services as needed. Identify routine maintenance or repair needs and coordinate service with the appropriate vendor. Assist with the administration and coordination of the building security system. Receive, organize, and distribute incoming packages and deliveries. Coordinate outgoing mail, shipments, courier pickups, and other deliveries as needed. Coordinate equipment recycling and disposal across company locations. Help ensure offices, conference rooms, kitchens, common areas, and other shared spaces are organized, stocked, and ready for employees and visitors. Employee & Administrative Support Provide general administrative support to the Chief of Staff and other departments as assigned. Coordinate employee lunches, including ordering, pickup, setup, and cleanup. Assist with employee celebrations, appreciation activities, internal meetings, and company events. Coordinate routine employee requests for office supplies, company materials, and other administrative needs. Maintain the company office map and related office information. Order business cards, company apparel, and other approved employee materials. Coordinate employee headshots and related scheduling. Assist with new-hire office preparation, including ordering and coordinating desk equipment, supplies, and other approved materials. Coordinate new-hire first-day lunches and other assigned onboarding logistics. Assist with maintaining administrative records, files, forms, and documentation. Assist with data entry, document preparation, scanning, filing, and record organization. Track assigned administrative items and follow through to completion. Assist with special projects and additional administrative responsibilities as assigned. Fleet Administration Coordinate routine maintenance for company vehicles. Schedule oil changes, tire rotations, repairs, inspections, and other required vehicle services. Track upcoming routine maintenance needs and help ensure services are completed on schedule. Process company vehicle registration renewals and maintain related documentation. Maintain organized records related to company vehicle maintenance and registration. Meeting & Event Support Prepare conference rooms and common areas for meetings and company activities. Coordinate food, beverages, supplies, and other logistical needs for internal meetings. Assist with setup and cleanup for employee and company events. Provide logistical support for approved internal and external events as assigned. Coordinate event-related orders, deliveries, supplies, and materials. Assist with event registrations, reservations, attendee lists, and other administrative logistics as needed. Requirements Qualifications High school diploma or equivalent required. Previous office administration, administrative support, customer service, or similar experience preferred. Strong organizational and time-management skills. Excellent attention to detail and follow-through. Strong written and verbal communication skills. Ability to manage multiple priorities and recurring responsibilities. Ability to work independently and recognize when routine tasks require attention. Comfortable communicating and following up with employees, vendors, and service providers. Proficiency with Microsoft Office applications, including Outlook, Word, and Excel. Ability and willingness to learn company systems, software, and processes. Professional, dependable, and able to appropriately handle confidential company and employee information. Valid driver's license and reliable transportation for local errands, pickups, and purchases. Physical Requirements Ability to perform general office and administrative duties for extended periods. Ability to move throughout the office to monitor supplies, common areas, deliveries, and other operational needs. Ability to occasionally lift, carry, and move office supplies, groceries, packages, and other materials. Ability to travel locally for office errands, pickups, purchases, and company vehicle needs. Position Expectations The Office Assistant is expected to take ownership of the recurring administrative and operational details required to keep the company's offices running smoothly. Success in this role means recognizing routine needs before they become problems, maintaining appropriate inventory levels, keeping recurring services and responsibilities on schedule, communicating effectively, and following tasks through to completion. The goal of this position is not simply to complete tasks as they are assigned, but to develop ownership of established responsibilities so that leadership and other team members can rely on these functions being handled consistently and effectively. Growth & Development The Office Assistant will be an important member of the Administrative team and will work with multiple departments throughout the organization. While the initial focus will be office operations, administrative support, logistics, fleet coordination, and event support, the position is intended to provide opportunities for professional growth. As the individual demonstrates initiative, reliability, accuracy, and a strong understanding of company processes, they may take on additional administrative and operational responsibilities and special projects.
