SUMMARY:
Ensure that complete and accurate records for all students are maintained and readily available.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Records, Reports, and Correspondence Assist in ensuring that all test scores (CAT, TAAS, TASP, SAT, ACT, etc.) are posted on transcripts. Assist with the posting of all semester grades on transcripts. Assist with requesting grades and transcripts on incoming students from other school districts. Assist with providing copies of transcripts to counselors and students, upon request. Assist with sending copies of senior student transcripts to colleges. Assist with the handling of records requests from other school districts. Provide principal and teachers with student information. Assist in ensuring that all summer school grades are posted in students' folders. Assist in maintaining list of all students new to the district. Assist in providing complete alphabetical listing of all students and their credits. Assist in ensuring that previous years' grade sheets are readily available when needed. Assist in averaging grades to obtain grade point average (GPA) and class ranking for all students, grades 10-12. Assist in ensuring that all inactive permanent record folders are appropriately microfilmed and filed accordingly. Assist with updating handbooks, policy manuals, and other documents as needed. Assist students, teachers, and parents as needed. Receive incoming calls, take reliable messages, and route to appropriate staff. Maintain physical and computerized files, including inventory of school and office supplies, mailing lists, student records, visitors logs, and office communication. Other Maintain confidentiality. Participate in staff development training programs to improve job performance. Participate in meetings and special events as assigned. Exercise professional judgment in absences; be punctual to work, meetings, and appointments. Perform other duties as assigned by the immediate supervisor.

EDUCATION AND/OR EXPERIENCE
High school diploma or
GED CERTIFICATES, LICENSES AND REGISTRATIONS
As required by the Texas Education Agency
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before parents, students, and staff.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES
Working knowledge of school records and documents. Demonstrated ability to operate a personal computer and related software. Ability to greet the public in a pleasant and cordial manner. Ability to develop effective working relationships with students, staff, parents, and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
PHYSICAL DEMANDS
Occasional absences are understood but regular attendance is required. While performing the duties of this job, the employee will continuously sit. The employee occasionally will walk or stand and reach with hands and arms. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee is continuously required to interact with staff, students and parents, while meeting multiple demands from several people. Light to moderate lifting and carrying is required. Specific vision abilities required by this job include close vision and the ability to adjust focus. The employee must maintain emotional control under stress.
WORK ENVIRONMENT
The noise level in the work environment is usually quiet. Work is performed indoors.
