Administrative Assistant Position Summary The Administrative Assistant supports the daily operations of Bautista Family Cares, LLC by delivering outstanding customer service, assisting with policy processing, maintaining organized office systems, and supporting agency marketing initiatives. This position plays a vital role in ensuring efficient office operations and a positive client experience. Essential Duties and Responsibilities Welcome clients and provide professional customer service in person, by phone, email, and text. Answer incoming calls and direct inquiries to the appropriate team member. Assist with insurance applications, policy changes, renewals, cancellations, and other administrative transactions. Prepare, scan, organize, and maintain confidential client files and agency records. Verify the accuracy and completeness of documentation prior to submission. Schedule appointments and maintain staff calendars. Follow up with clients regarding outstanding documentation and policy requirements. Maintain organized electronic and physical filing systems. Enter and update client information in agency management software. Monitor office supplies and coordinate purchasing as needed. Assist with preparing reports, correspondence, and other administrative documents. Support the agency's social media platforms by creating, scheduling, and publishing content. Assist with marketing campaigns, community events, and client appreciation activities. Update agency website information and online business profiles as directed. Maintain compliance with agency policies and applicable insurance regulations. Assist in improving office procedures and workflow efficiency. Perform additional administrative duties as assigned. Minimum Qualifications High school diploma or GED required. Previous administrative, customer service, or office experience preferred. Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to prioritize multiple tasks and meet deadlines. Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace. Ability to learn insurance agency management software. Social media and basic marketing experience preferred. Bilingual in English and Spanish is preferred but not required.
