We are currently seeking a highly organized and detail-oriented Administrative Assistant to join our close-knit team.
Job Summary:
The Administrative Assistant will provide vital support to our legal team by performing various administrative tasks essential for the smooth operation of the firm. The ideal candidate will possess strong organizational skills, a proficiency in legal terminology, and an ability to multitask in a fast-paced environment. In addition to these core qualifications, the candidate should demonstrate exceptional communication abilities, both written and verbal, to effectively interact with clients, witnesses, and vendors.
Key Responsibilities:
  • Perform a variety of administrative tasks, including scheduling appointments, managing calendars, and coordinating travel arrangements.
  • Serve as the primary point of contact for internal and external communications, including answering phones, responding to emails, and greeting visitors.
  • Organize and maintain office supplies and overall office environment to ensure smooth operations.
  • Maintain accurate records and databases, including filing systems, inventory management, and client or project databases.
  • Assist in the coordination and execution of projects, events, or activities as assigned, including conducting research and preparing materials.
  • Help with budget tracking, invoicing, and expense reports, as well as maintaining financial records.
  • Handle sensitive information with discretion and ensure compliance with company policies and regulations.
  • Collaborate effectively with team members to facilitate efficient communication and operations.
  • Handle client communications professionally, addressing inquiries and providing information as needed.
Qualifications:
  • High school diploma or equivalent; additional education or degree in Business Administration, Legal Studies, or related field preferred.
  • Proven experience in an administrative role; experience in a law office is a plus.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Detail-oriented with a proactive approach to problem-solving.
  • Commitment to confidentiality and adherence to ethical standards.
  • Strong interpersonal skills and the ability to work both alone and collaboratively.
  • Must possess a valid driver's license.
