Hybrid Description:
The Administrative Assistant (AA) at Fletco Construction plays a pivotal role in maintaining the cohesion of our company by providing support to management and executive staff. We are seeking a detail-oriented, dependable individual with effective communication skills and the ability to make sound decisions.
Responsibilities:
1. Answer incoming phone calls promptly and professionally. 2. Enter accounts payable transactions accurately and in a timely manner. 3. Handle physical invoices received via mail and invoices received through email. 4. Prepare checks for signature, ensuring compliance with the company's payable policy. 5. Maintain general office files, including job files and vendor files, using our document management system. 6. Oversee the maintenance of office facilities and equipment. 7. Purchase office supplies, equipment, and furniture as needed. 8. Welcome visitors and direct them to the relevant office or personnel. 9. Review subcontractor agreements for completeness and maintain subcontractor insurance and waivers. 10. Prepare Excel cash spending reports and send them to the CFO and Administrative Manager after each check-run. 11. Track and improve processes to enhance efficiency. 12. Perform other duties as requested by your supervisor. 13. Ability to work independently with minimal supervision 14. Problem-solving mindset 15. Strong organization and time management skills
Requirements:
1. Strong knowledge of the accounts payable process, including physical and email invoices. 2. Proficiency (5+ years) in QuickBooks Online accounts payable process. 3. Proficient in Microsoft Office Suite programs. 4. Detail-oriented with the ability to multitask effectively. 5. 5+ years of experience as an Administrative Assistant. 6. Experience with Sage 100 Contractor is preferred. 7. Must uphold the vision and goals of Fletco Construction in all aspects of work.
Reports To:
This position reports directly to the CEO, CFO, Operations Manager, and Administrative Manager. We are looking for a motivated individual who can work independently, prioritize tasks, and contribute to the success of our team.
