This key role supports both daily office operations and procurement activities, ensuring efficient workflows, timely purchasing, and seamless administrative support. We are seeking a dynamic, detail-oriented, and highly organized Purchasing & Administrative Assistant to join our team! This key role supports both daily office operations and procurement activities, ensuring efficient workflows, timely purchasing, and seamless administrative support. The ideal candidate thrives in a fast-paced environment, demonstrates strong organizational and communication skills, and enjoys contributing to a collaborative and productive workplace. Key Responsibilities Perform data entry, maintain accurate records, and organize digital and physical filing systems. Provide general administrative support to ensure smooth office operations. Assist with purchasing office supplies, equipment, and services in a timely and cost-effective manner. Communicate with vendors, request quotes, place orders, and follow up on deliveries. Maintain vendor records and ensure compliance with purchasing procedures. Answer and route phone calls, respond to emails Act as a liaison between internal departments and external vendors. Manage calendars, schedule meetings, and coordinate appointments for directors and executives. Support coordination of vendor visits, deliveries, and service appointments. Monitor office supply inventory levels and reorder as needed. Coordinate with service providers for maintenance and office-related services. Draft, proofread, and format correspondence, purchase orders, and reports. Maintain organized documentation related to procurement and administrative functions. Update and maintain records in the accounting or purchasing system.
Qualifications Education :
High school diploma or equivalent; an associate's or bachelor's degree in business administration or a related field is a plus.
Experience :
1-3 years of experience in an administrative or clerical role preferred Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or similar software. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Attention to detail and problem-solving skills. Basic knowledge of office equipment (e.g., printers, scanners). Familiarity with scheduling or project management tools (e.g., Calendly, Trello) is a plus.
