Job Description

FUNCTION
Provides confidential, complex, and advanced administrative support to the Executive Director of Operations (EDO) and assigned departments. Performs a broad range of administrative, financial, personnel, and operational support functions requiring independent judgement, discretion, and thorough knowledge of departmental operations, policies, and procedures.
PRIMARY RESPONSIBILITIES
Perform a variety of administrative responsibilities in direct support of management to enhance operating efficiency and achieve organizational objectives. Perform within established guidelines, exercise sound judgement, initiative, and discretion while requiring minimal supervision. Research, compile, and analyze information and prepare written reports, correspondence, presentations, and verbal summaries. Evaluate administrative processes, recommend appropriate courses of action, and implement solutions in accordance with policies and procedures. Maintain a comprehensive working knowledge of GEUS policies, procedures, and operations practices applicable to assigned departments. Provide appropriate guidance to other personnel across multiple departments. Serve as a liaison between departments, divisions, vendors, contractors, and other external organizations to facilitate effective communication and coordination. Foster a positive and professional, positive, and collaborative work environment, while providing exceptional administrative support. Prepare, process, and monitor purchase requisitions, purchase orders, payment invoices and procurement card purchase for various Operations departments. Coordinate personnel administrative processes. Coordinate employee travel arrangements and ensure compliance with applicable organizational travel policies and reimbursement procedures. Support departmental safety operations by performing administrative duties, maintaining records, and assisting with safety initiatives. Assist with time sheet processing and approval workflows ensuring accuracy and timely submission. Provide Finance Department with a current listing of fixed assets annually. Maintain departmental records in accordance with applicable state records retention requirements and organizational policies. Purchase and maintain office supplies. Retain an active Notary Public Commission. May provide intermittent supervisory support as assigned. Perform other related duties as assigned. MINIMUM QUALIFICATIONS AND SKILLS
High school diploma or equivalent required. Direct related experience performing responsibilities in areas in administrative functions. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Knowledge of routine office operations. Ability to communicate effectively and work with minimal supervision. Ability to multi-task on multiple projects.
PREFERRED QUALIFICATIONS
An associate's degree, or equivalent combination of formal education and specialized training in a related field Proficiency in Incode Software
PHYSICAL EFFORT
Ability to lift 20 lbs.
