Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster a productive, welcoming environment. The ideal candidate is proactive, tech-savvy, and excels at multitasking, with a passion for delivering outstanding customer service. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth Answer multi-line phone systems efficiently, providing clear information or transferring calls as needed Maintain organized filing systems, both physical and digital, including data entry and document proofreading Schedule appointments and calendar management for staff, ensuring optimal time management and coordination Handle correspondence via email, Google Workspace tools, and Microsoft Office applications with accuracy and timeliness Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking Provide excellent customer support by addressing inquiries promptly and maintaining positive communication standards Assist with office management duties such as supply inventory, photocopying, faxing, and general clerical support Qualifications Proven experience in an office environment or as an administrative assistant, preferably with clerical or medical/dental receptionist background Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Bilingual abilities are highly desirable to serve diverse client needs Experience managing multi-line phone systems and demonstrating proper phone etiquette Knowledge of office management practices including filing systems, proofreading documents, and calendar management Personal assistant experience or medical receptionist background is a plus but not required Demonstrated time management skills with the ability to handle multiple responsibilities efficiently Join us in creating a vibrant workplace where your organizational talents make a real difference!
