Job Description
The position is appointed by and reports to the City Manager. Duties include responsibility for preparing documentation for and recording official City Council minutes, ordinances, resolutions, and other related business; maintaining official city records; conducting city elections; and performing other administrative functions. Prepares and posts agendas for City Council and various boards, commissions, and committees. Posts all legal notices for the City, ensuring that legal requirements are met. Attend various City meetings and may record minutes. Meetings may be held after normal business hours. Answers official correspondence. Serves a records officer for the City and maintains all official records while ensuring accuracy and ease of retrieval. Responds to Public Information Act requests. Prepares reports on civic needs. Serves as primary election official, preparing and conducting all elections. Administers oaths of office. Co-signs payroll and accounts payable checks. Attests Mayor's signature on all official City documents and performs Notary Public services for all City departments as needed. Assist with telephone traffic and public requests. Receives responses to request for proposals, request for bids, and request for qualifications, attends openings, and records results. Manages facility/office space for department, including ordering office supplies, managing room reservations, and overseeing building and grounds maintenance. Provides administrative support to City Manager and City Attorney. Attend meetings and events of local, regional, and state organizations. Assists in the development and implementation of goals, policies, priorities, and procedures relating to City operations. Assists with the preparation of budgets, review of budget proposals, and preparation of necessary supporting documentation and justification. Prepares reports and analysis. Observes personnel policies and City charter. Performs such other duties as may be assigned
