Job Description

Job Summary Performs a variety of financial, case management and administrative support duties. Work involves collecting and maintaining accurate financial records, creating and updating case records, acting as a receptionist and related administrative duties. Works under the unit supervisor with considerable latitude for the use of initiative and independent judgment. Keeps record of fines, restitution, court costs and other fee accounts. Oversees the receipt of monies from probationers for payment on fines, restitution, court costs and other fee accounts. Summarizes details of transactions on individual ledgers. Compiles reports on a monthly basis for the County Auditor and Treasurer. Makes daily deposits and maintains all bank account records under the jurisdiction of the Department. Reports issues to the Director regarding the collection of accounts, procedural matters, etc. Testifies in Court with reference to payments made by a probationer as required. Creates and maintains files on case records and correspondence. Keeps records of data and prepares statistical reports as required by the Director, the Courts and/or the Texas Department of Criminal Justice - CJAD. Acts as a receptionist which includes, but is not limited to, the following duties: Answering the telephone and taking messages or referring calls to an appropriate officer; receiving visitors such as law enforcement officers (state, federal and local) and referring them to appropriate CSOs; and directing probationers to a Supervisor or another officer if the assigned officer is not available. Maintains a filing system established by the administration of the Department. Prepares vouchers and other such forms necessary in the operation of the Department. Prepares letters to probationers under supervision. In the absence of a CSO, organizes their work as time permits to assist until the officer's return. Performs such other duties as assigned. Serves at the will of the Director.
MINIMUM QUALIFICATIONS
High school diploma, equivalent or GED and some college hours from an accredited college or university preferred. Must have two years of full-time, wage-earning accounting, case management, office work, clerical or related experience. Each year of experience may be substituted for 30 semester hours from an accredited college or university on a year-for year basis. Knowledge of accounting/case management and related software preferred. Must be proficient in the utilization of Microsoft Office Suite. Must possess a valid Texas driver's license. Must maintain a valid Texas license for continued employment in this position. Must own their vehicle, have proof of current liability insurance and maintain liability insurance. Must have or be able to obtain a certificate of Criminal Justice Practitioner Training Course completion for the Texas Law Enforcement Telecommunications System (TLETS) from the Texas Department of Public Safety within one year of employment. Must meet and maintain TLETS access eligibility for continued employment in position.
