Primary Purpose:
Maintain accurate attendance records for the campus. Under close supervision, perform data entry including attendance, Public Education Information Management System (PEIMS) data, and grades.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Ability to use software to develop spreadsheets and databases, and do word processing Proficient in keyboarding, 10-key numerical data entry, and file maintenance Ability to meet established deadlines
Experience:
Two years data entry experience
Major Responsibilities and Duties:
PEIMS Coding Collect and enter attendance and PEIMS data into established database and verify accuracy according to prescribed procedures. Work with district PEIMS coordinator to correct fatals for state submissions. Maintain information for Principals reporting each 6wks. Prepare and print reports, including discipline reports, grades, class or personnel rosters and end-of-semester reports. Maintain physical and computerized records, including student cumulative folders, progress and failure reports, class rosters, grade books, and schedule changes if applicable. Assist parents, students, and faculty with questions. Process and transmit requests for student information. Produce reports for Military recruiters. Run reports for NJROTC for federal reporting. Reporting for SpEd, LPACS, Transfers, CTE, Homeless, Shared Residency, Power of Attorney, etc. Enrollment Throughout the year handle any enrollment paperwork for Campus. Ensure that we have all necessary documents for enrollment. Input all information into student information system. Produce weekly attendance reports/class counts for reporting to Administration. Withdrawals 15. Handle withdrawals for school campus. 16. Ensure that we have all necessary documents for withdrawals, such as additional documentation, verification of enrollment to the new school, home school declarations, etc. Scheduling 17. Prepare and coordinate with principal in building and maintaining school Master Schedule throughout the year. 18. Setting up new courses. 19. Balancing the number of conference periods, courses per period, number of sections based on student request.
TREX Request:
JJAEP and JHS as needed 20. Ensure on a daily basis that all incoming and outgoing TREX request are fulfilled for Campus. 21. Pull files for incoming request and scan documents to upload to TREX no later than 10 days from date of request. 22. Print any outgoing requests that we have received, audit for special programs, disseminate any necessary information to the appropriate program director. File in appropriate sections of the student permanent folder. Skyward Coordinator 23. Setup new programs within the software such as Grad Req's, Endorsements. Assisting other campuses. 24. Point of contact with Skyward Support. 25. Troubleshooting. 26. Assigning rights within the system. 27.Setup new database for the new year for all campuses in JISD. Grades 28. Working with teachers, administration and counselors to maintain student grades. 29. Run grade verifications each 6wks for report card processing. Approve and run grade change request. 30. Post progress report and report cards to student portfolio. 31. Enter grades for Hill College, TxVSN, Credit Recovery, Summer School, CBE's and other agencies as received. 32. Class Ranks and Grade point averages. Registration 33. At the beginning of the year, Registration of returning students, verifying proof of residency and online registration. 34. Coordinating with staff to assist students with parking, lockers, campus tours, POR's, OAR, etc. JJAEP 35. District contact for JJAEP. 36. Maintain accurate records for JISD students assigned to JJAEP such as, attendance, scheduling, grades, entry/WD's, status changes, discipline and coordinating with probation officers as well as JJAEP staff. Other 37. Other duties as assigned.
