Campus Secretary (Administrative Assistant)

District Primary Purpose:

To assist and promote La Joya ISD in implementing a rigorous curriculum/instructional program that supports student success and achievement.

Department Primary Purpose:

Assist the principal in the overall organization and operations of the campus.

Qualifications:
Education/Certification:

High School Diploma or GED

Secretarial/ Clerical Training

Experience:

Three years experience as a secretary, or five years experience as school clerk

Special Knowledge/Skills:

Proficient keyboarding and file maintenance skills

Ability to use software to develop spreadsheets, databases, and do word processing

Ability to maintain accurate and auditable records

Knowledge of basic accounting principles

Ability to follow verbal and written instructions

Ability to perform a variety of tasks often changing assignment on short notice

Effective organizational, communication, and interpersonal skills

Major Responsibilities and Duties:

Manage campus budget and bookkeeping.

Prepare and make cash deposits for activity account(s). May be responsible for maintenance of activity check register(s) and ledger(s). Process, organize, and send for payment of Purchase Orders.

Facilitate office routines and records such as staff attendance, substitute logs and visitor logs.

Prepare a variety of materials, such as letters, student records, reports, memos, and monthly statements.

Assist with campus budget preparation and maintain accurate records of expenditures. Prepare and process purchase orders and receive, store, and issue supplies and equipment

Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements.

Maintain school calendar of events.

Receive incoming calls, take reliable messages, and route to appropriate staff.

Schedule meetings and appointments and maintain calendar for principal.

Assist with planning, preparation, and setup of faculty meetings and campus activities.

Coordinate campus activities as assigned by principal.

Supervise office clerical staff.

Assist students, teachers, and parents as needed. Maintain confidentiality.

Perform other duties as assigned by principal.

Maintain emotional control under stress.

Physical Demands/Environmental Factors:

Repetitive hand motions; prolonged use of computer. Works with frequent interruptions. Moderate standing, stooping, bending, and lifting.
