Job Description

We are seeking a highly organized and detail-oriented Retirement Services Coordinator to support our growing precious metals IRA business. This role is critical to delivering a seamless and professional onboarding experience for our clients while allowing our sales team to focus on relationship development and revenue generation. The Retirement Services Coordinator will manage IRA application workflows, monitor funding and transfer processes, coordinate documentation, and serve as the operational liaison between clients, custodians, vaults, and internal stakeholders. This is an individual contributor role within a two-person retirement services support team, working to support our sales organization.
Key Responsibilities :
Review and quality-assure new precious metals IRA applications for accuracy, completeness, and compliance Proactively identify and correct errors, missing documentation, and signature deficiencies Monitor application status from submission through approval and funding Coordinate directly with clients to obtain identity documentation and facilitate transfer or rollover paperwork Liaise with custodian partners and other vendors to ensure timely account approvals, asset transfers, and settlements Track payment status and confirm funds receipt and allocation Manage exceptions, resolve multi-party discrepancies, and escalate issues when necessary Maintain accurate records within CRM systems and ticketing platforms Provide operational reporting and status updates to sales and leadership Ensure that all interactions reflect professionalism, clarity, and confidence—particularly when assisting clients with the movement of significant retirement assets
Required Qualifications:
Strong customer service skills, with the ability to communicate clearly and professionally with both clients and institutional partners Comfort assisting clients with the transfer of substantial retirement assets and instilling confidence throughout the process Meticulous attention to detail and commitment to error-free execution Demonstrated ability to manage multiple concurrent workflows without sacrificing accuracy Proficiency in CRM systems, ticket management software, vendor portals, and Microsoft Office (especially Excel, Outlook, and Word) Comfortable operating within a highly digital, process-driven workflow environment
Preferred Qualifications:
5+ years of experience in a back-office operations role involving: Workflow coordination Reporting and documentation management Ticket queue management Resolution of complex, multi-party errors or disputes Experience in a regulated financial services environment (insurance, banking, brokerage, investment advisory, retirement services, etc.) Direct experience handling money movement instructions, rollovers, transfers, or custodial coordination A bachelor's degree from an accredited university, with a focus on business, economics, accounting, finance or related field
