Job Description SUMMARY:
Front-line office position with responsibility for confidential interactions. Emphasis on database management and high-quality, time-sensitive communication.DETAIL:
Interacts with donors and potential donors, potential and current students and parents, SPC employees and retirees, alumni and community members; maintains large databases; processes donations to South Plains College and to the South Plains College Foundation; prepares reports; prepares large group mailings and tracks responses; prepares pledge reminders and receipts; and relieves officials of clerical work and administrative and business detail by performing the following duties:ESSENTIAL DUTIES AND RESPONSIBILITIES

Assists the Director of Development and Alumni Relations with developing and maintaining effective donor relations, including confidentiality of information. Provides general office reception and management; greets visitors in person and via telephone; provides information; routes incoming telephone calls, mail and email; prepares and processes office correspondence; maintains correspondence and other office records; prepares purchase orders and completes monthly credit card reports; orders and maintains office supplies. Provides database management relative to the operations of the Development Office; processes donations, credit card transactions; provides receipts; collects and communicates information necessary for processing and recording of donations; creates and maintains mail lists used for office communications related to events and solicitations; creates and generates reports from Colleague Advancement database system. Assists the Director with the development and execution of special events, including the annual Scholarship Gala, Scholarship Golf Scramble, Scholarship Banquet and other events. Works as a collaborative member of the Advancement Team within the Institutional Advancement Division, specifically working with the Scholarship Office to organize and distribute annual student thank-you letters.SUPERVISORY RESPONSIBILITIES
Assists in supervision of student assistant employees. QualificationsQUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. High School diploma required; Associate degree in office administration or other related discipline is preferred. Three years related experience and/or training; or equivalent combination of education and experience is preferred. Database management skills demonstrated through college coursework or work experience are preferred.COMPUTER SKILLS
Proficiency with Windows operating system and Microsoft Office (Word and Excel) are required. Knowledge and/or working with database software and systems in a mainframe environment (i.e., Colleague) is required. Additional computer skills and proficiency related to business activities and/or database management practices are recommended.LANGUAGE SKILLS
Ability to read and comprehend instructions, correspondence and memos. Ability to write correspondence utilizing email and traditional letters. Ability to communicate with individuals in a professional manner both in person and over the phone.INTERPERSONAL SKILLS
Demonstrated ability to work and collaborate with co-workers and visitors in a professional office setting. Ability to maintain confidentiality of donor information and office operations is required.MATHEMATICAL SKILLS
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute basic statistics and to draw and interpret graphs and charts.REASONING ABILITY
Ability to interpret a variety of instructions furnished in written or oral form.PHYSICAL DEMANDS
