Minimum Hourly Rate:

$18.90

Duty Days:

220 days per year

PRIMARY PURPOSE

Ensure efficient operation of 9th Grade center administrative office, work collaboratively with high school office staff and Principal's secretary and provide clerical services for school's administrative staff.

QUALIFICATIONS
Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Proficient word processing and file maintenance skills

Effective organizational, communication, and interpersonal skills Ability to use personal computer and software to develop spreadsheets, databases, and do word processing Knowledge of basic accounting principles

Experience:

One to three years secretarial experience, preferably in public education environment

MAJOR RESPONSIBILITIES AND DUTIES

Records, Reports, and Correspondence

Prepare written correspondence, forms, schedules, or reports using personal computer

Prepare instructional materials, meeting agendas, honor rolls, student/staff reports, and campus communication as requested using personal computer

Maintain a daily teacher attendance log and records for substitute teachers collaboratively with the high school campus

Maintain school calendar of events subject to the needs of the 9th grade center and in collaboration with the high school campus.

Greet visitors at reception and answer phones as needed (occasionally providing support at the high school office upon request)

Schedule meetings and appointments and maintain calendar for 9th Grade center principal

Assist students, teachers, staff, and parents as needed

Receive incoming calls, take reliable messages, and route to appropriate staff

Files

Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication

Update handbooks, policy manuals, and other documents as assigned

Including 9th Grade Center accounting and inventory

Perform routine bookkeeping tasks including simple arithmetic operations to maintain campus budget records

Prepare and process purchase orders for the 9th Grade center

Receive, store, and issue supplies and equipment for 9th Grade staff

Prepare and make cash deposits for activity account(s). May be responsible for maintenance of activity checkbook(s) and ledger(s) as needed

Assist with coordination of faculty meetings and campus activities per request

Assist with campus budget preparation as needed

Maintain inventory of fixed assets, equipment, and supplies

Other

Sort, distribute, or deliver mail and other documents

Maintain confidentiality

Maintain a positive, customer service-oriented demeanor towards all stakeholders

Performs other duties as assigned.

Supervisory Responsibilities:

Supports the high school campus principal's secretary in monitoring the work of campus secretaries and clerical aides

Equipment Used:

Personal computer, printer, copier, scanner, fax machine, and calculator

WORKING CONDITIONS
Mental Demands:

Ability to communicate effectively (verbal and written); interprets policy, procedures and data; coordinates district functions; maintains emotional control under stress.

Physical Demands/Environmental Factors:

Frequent district-wide and occasional statewide travel; occasional prolonged and irregular hours. Frequent standing, stooping, bending, kneeling, pushing and pulling. Occasional lifting up to 50 pounds. Prolonged use of computer and repetitive hand motions.
