In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support administrative functions, manage communication channels, and assist with a variety of clerical tasks. Responsibilities Manage multi-line phone systems with professionalism, providing excellent customer service and clear communication. Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, and other productivity software. Handle front desk duties including greeting visitors, answering inquiries, and directing calls efficiently while maintaining proper phone etiquette. Assist with calendar management and scheduling appointments for staff or clients, ensuring optimal time management. Support office management tasks such as filing, organizing documents, proofreading correspondence, and maintaining office supplies inventory. Provide clerical support including word processing, document preparation, proofreading, and handling mail distribution. Utilize technical proficiency in computer skills to troubleshoot basic issues and ensure smooth daily operations. Qualifications Proven office experience with strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and data entry tools. Excellent communication skills both via phone and in person; bilingual abilities are a plus. Experience with QuickBooks or bookkeeping is desirable but not required. Familiarity with multi-line phone systems and front desk procedures. Demonstrated computer literacy with the ability to adapt to new software quickly. Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment. Previous administrative or clerical experience in medical or dental reception is advantageous but not mandatory.
