Job Description

Job Summary We are seeking a highly organized and proactive Coordinator to join our dynamic team. The ideal candidate will possess excellent administrative and communication skills, with a strong focus on office management, customer service, and multitasking. As a Coordinator, you will serve as the central point of contact for internal and external stakeholders, ensuring smooth operations across various departments. Your role will involve managing schedules, handling correspondence, maintaining records, and supporting overall office efficiency. This position offers an engaging environment where your organizational talents and attention to detail will contribute significantly to our success. Duties Manage and coordinate daily office operations to ensure efficiency and productivity. Handle incoming calls, direct inquiries appropriately, and provide exceptional customer support through effective phone etiquette. Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools. Assist with calendar management and scheduling appointments for team members. Perform clerical tasks such as photocopying, scanning, mailing, and organizing office supplies. Provide administrative support including typing correspondence, preparing reports, and managing office documentation. Facilitate communication between branch sites. Ensure the office environment remains organized, welcoming, and efficient by overseeing general office management duties. Support bilingual communication needs when applicable to assist diverse clients or team members effectively. Skills Excellent phone etiquette and multi-line phone system management skills. Bilingual abilities to communicate effectively with diverse populations are highly desirable. Extensive office management experience with a focus on administrative support functions. Advanced computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), VESTA, and general computer skills. Proven clerical experience with data entry, filing systems, proofreading documents, and handling correspondence accurately. Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Strong typing skills coupled with excellent time management capabilities. Customer service expertise focused on providing positive interactions at all touchpoints. Experience in medical receptionist roles is a plus but not required; familiarity with healthcare office procedures is beneficial. Personal assistant or administrative support experience that demonstrates reliability and discretion in managing sensitive information.
