This position will help manage the administrative side of construction projects from pre-construction through project closeout. The ideal candidate is highly organized, comfortable managing multiple priorities, and has strong follow-through. This role works closely with Project Managers, field crews, vendors, customers, and operations to help keep projects organized, documented, and moving forward. Responsibilities Provide administrative support for construction projects from pre-construction through closeout. Assist Project Managers with job setup, document control, and project tracking. Create, maintain, and organize project files, contracts, submittals, RFIs, and change orders. Coordinate communication between Project Managers, field crews, vendors, and customers. Track project documentation, schedules, deadlines, and compliance requirements. Support material ordering and delivery coordination. Maintain job cost documentation and other project-related records. Assist with billing preparation, lien waivers, and project closeout documentation. Maintain accurate information in project management and ERP systems. Prepare reports and documentation for management as needed. Follow company policies, procedures, and confidentiality requirements. Provide additional administrative and project support as needed. Qualifications Strong organizational skills with excellent attention to detail and accuracy. Ability to manage multiple projects and priorities in a fast-paced environment. Strong written and verbal communication skills. Proficiency with Microsoft Office, including Excel, Word, and Outlook. Familiarity with construction documents, contracts, and workflows. Ability to work collaboratively with Project Managers, field staff, vendors, and operations. Strong problem-solving skills and follow-through. Ability to handle confidential and sensitive information with discretion. Ability to lift 5 pounds or more as needed. Education & Experience 2-4 years of experience in construction administration, project coordination, or a similar administrative support role. Experience in construction, service, or trade-based environments preferred. Experience supporting Project Managers and field operations preferred. Familiarity with project management or ERP software preferred. What We're Looking For We're looking for someone who is organized, dependable, and takes ownership of their work. You should be comfortable following up with multiple people, keeping project documentation organized, and helping Project Managers stay on top of deadlines and project requirements.
