Overview Join our dynamic team as a Front Desk Associate, where you will be the welcoming face and organizational hub of our office. This vital role combines exceptional customer service, efficient administrative support, and seamless office management to ensure a positive experience for visitors, clients, and staff alike. Your energetic approach and attention to detail will help create a professional, organized environment that promotes productivity and friendliness every day. Responsibilities Greet visitors, clients, and vendors with a warm, professional demeanor, ensuring they feel welcomed and valued. Manage multi-line phone systems to handle inquiries efficiently, directing calls accurately and courteously. Maintain organized filing systems, data entry records, and manage correspondence using Microsoft Office and Google Workspace tools. Schedule appointments, coordinate calendar management for staff and executives, and assist with meeting preparations. Handle clerical tasks such as proofreading documents, managing office supplies inventory, and performing basic bookkeeping using QuickBooks. Support office management duties including opening/closing procedures, maintaining cleanliness, and ensuring office equipment is functional. Provide exceptional customer support by addressing inquiries promptly and professionally while maintaining excellent phone etiquette. Skills Proven experience in front desk operations or office administration with strong organizational skills. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar). Excellent communication skills in both English and bilingual capabilities to serve diverse clients effectively. Familiarity with multi-line phone systems and phone etiquette to manage high call volumes smoothly. Strong data entry skills with attention to detail for accurate record keeping and proofreading abilities. Experience with office management software such as QuickBooks or similar bookkeeping tools is a plus. Ability to multitask efficiently while demonstrating time management skills in a fast-paced environment.
