Job Description

Description We are looking for a detail-oriented Administrative Assistant to join our team in Richardson, Texas on a Contract basis. This role supports daily office operations by coordinating new employee administration, maintaining organized records, and assisting with document and data management. The position also works closely with accounting, project, and field teams to keep information flowing accurately and efficiently. Bilingual communication in Spanish and English is essential for success in this role.
Responsibilities:
  • Coordinate new employee setup by collecting required paperwork, organizing onboarding files, and ensuring timely completion of onboarding steps.
  • Administer identification badge requests and help arrange site access so employees are prepared for job assignments.
  • Maintain up-to-date personnel, vendor, and project records with careful attention to accuracy and confidentiality.
  • Complete high-volume data entry tasks, verifying information and correcting inconsistencies as needed.
  • Provide day-to-day administrative support for office staff and project teams, including general clerical and reception-related assistance.
  • Assist with accounts payable activities by entering invoice details, monitoring submissions, and supporting payment documentation.
  • Organize and track vendor files and project-related documents to improve accessibility and record retention.
  • Communicate with internal departments to help align office coordination with field operations and project needs. Requirements
  • Fluency in both Spanish and English is required.
  • Demonstrated ability to manage administrative work with strong accuracy and attention to detail.
  • Strong organizational skills with the ability to handle multiple tasks in a fast-paced environment.
  • Clear written and verbal communication skills and the ability to collaborate across departments.
  • Proficiency with Microsoft Excel and general office software applications.
  • Ability to perform high-volume data entry and maintain reliable records.
  • Prior experience in administrative support, office coordination, onboarding support, accounts payable, or a related area is preferred.
  • Experience working in construction, industrial, or similar operational environments is an advantage.
