Job Description

Job Summary The Administrative Assistant coordinates the work flow of the office duties that includes phones, correspondence, scheduling donation pickups, donation and volunteer management databases, preparation of bulk mailing, ordering supplies, mail, daily deposit, and scheduling phone receptionists. This is a full-time position. The Admin Assistant works Monday through Friday although Serving Center events may occasionally involve a weekend. The Round Rock Area Serving Center is a nonprofit food pantry and social service agency. Duties and Responsibilities Answer phones; schedule and train phone receptionists Correspondence; donation acknowledgements and thank you letters; oversee bulk mailings; year-end tax letters Coordinate donation pickup requests; follow up with donors and schedule pickups; schedule/coordinate truck drivers; oversee truck itinerary/coordinate with drivers Schedule and maintain master calendar for outside group volunteers Schedule and maintain master calendar for conference room reservations Oversee/schedule counters for daily store sales; prepare daily deposit; prepare cash register bags; make bank deposit as needed Prepare reports; prepare/copy reports for meetings; make copies of forms; post in-house newsletters, signs, flyers Maintain donation database; prepare annual tax letters; maintain address master database for newsletters and mailings; acknowledge contributions Prepare bulk mailing for newsletters; oversee volunteers for mailing preparation Deliver out-going mail; order supplies; supply restrooms with daily supplies Maintain volunteer management database Additional tasks include assigned projects; open/close building as needed Skills/Experience Three to five years administrative receptionist experience Two years supervisory experience Bilingual in Spanish required; oral and written skills Strong written and oral communication skills Strong computer, spreadsheet, website experience; Word, Excel, Access, Power Point Strong customer service skills Leadership and training skills Compensation/Benefits Payday is the 1st and 15th of each month Salary $40,000 No insurance benefits Sick Pay Personal Time Off Employees will have ten (10) days paid vacation during the first year of employment. At two years of employment, two additional days of vacation will be added for a total of twelve (12) days. At five years of employment, three (3) additional days will be added for a total of fifteen (15) days.
