High school diploma or equivalency Experience in secretarial or administrative work in a professional office environment Ability to manage workload effectively with conflicting deadlines and priorities. Experience in basic office budgeting, purchasing, travel arrangements, and processing travel reimbursements. Ability to develop and maintain accurate and comprehensive records and files. Ability to coordinate details for small and large events. Ability to communicate effectively with colleagues, and internal and external stakeholders. Proficient in Microsoft Office software and Office Suite.Preferred Qualifications:
Minimum of two years experienced in secretarial or administrative support work Bilingual candidates with Spanish proficiency Ability to coordinate a variety of work activities and work as part of a team Experience creating and editing publications Experience in creating ads, videos and presentationsJob Description:
The Administrative Assistant II provides administrative and general clerical support to the management and staff in Student Success and Academic Services at the Round Rock Campus.Job Duties:
Provide direct administrative support to the Director for Student Success and Academic Services and serve as front-line reception staff. Assist students with appointments, queries about services, and make referrals as appropriate. Maintain multiple calendars. Work independently to coordinate, gather information, and compile data as needed for special projects. Utilize multiple software applications such as Microsoft Office, SAP, Qualtrics, Concur, Adobe, Zoom, Teams, Canva, Canvas, and Mailchimp. Assist with procurement and accounting functions. Coordinate, prepare, proofread, and track correspondence and reports. Book travel and prepare expense reports. Maintain confidential files and records. Answer multi-line phone system, take detailed messages, and provide excellent customer service. Maintain a close working relationship with the offices of the Division of Student Success, library, testing center, admissions, financial aid, advising, records and registration, and the office of the Vice President of Round Rock and providing appropriate triage services as needed.
