San Leon, TX Job Details Full-time From $18 an hour 9 hours ago Benefits Health insurance Dental insurance Vision insurance 401(k) matching Life insurance Qualifications Operations coordination GAAP Business Administration Business Associate's degree Office experience Full Job Description Job Summary We are seeking a detail-oriented and reliable Administrative Assistant to support the accounting and operations functions of our shipyard and construction operations. This role is essential to accurate billing, purchasing, labor tracking, and overall administrative efficiency as the company continues to grow. The ideal candidate is organized, accurate with numbers, and comfortable working in a fast-paced industrial environment. Responsibilities Prepare, process, and issue customer invoices in ComputerEase (CE), ensuring accurate job costing and timely billing. Create, issue, track, and close Purchase Orders (POs); match vendor invoices to POs and resolve discrepancies. Collect, enter, reconcile, and report labor hours submitted by supervisors in accordance with established schedules and procedures. Code and process accounts payable invoices to the correct jobs and cost codes. Assist with accounts receivable follow-up, including sending statements and monitoring outstanding balances. Maintain organized digital and physical records of invoices, purchase orders, time sheets, and job-related documentation. Support basic job cost tracking and flag material or labor variances as needed. Maintain vendor files and assist with obtaining quotes or processing related documentation when requested. Perform general administrative duties, including answering phones, managing correspondence, ordering supplies, and providing backup support. Qualifications Proven experience in an administrative, accounting support, or operations coordinator role, preferably in construction, manufacturing, marine, or a related industry. Working knowledge of construction or job-cost accounting software (ComputerEase strongly preferred; comparable ERP systems considered). Strong attention to detail and high degree of accuracy with data entry and numerical information. Ability to manage multiple priorities, meet deadlines, and work effectively with both office and shop-floor personnel. Proficiency in Microsoft Office (Excel, Word) and general comfort with digital record-keeping systems. Professional communication skills and a reliable, proactive work ethic. Preferred Qualifications & Experience Associate's degree or higher in business administration 3-5 years of business administration experience Prior experience with ComputerEase Prior experience with purchase order processes, accounts payable/receivable, or labor tracking in a project-based environment.
