Job Description
Key Responsibilities:
Project Coordination & Production Support Assist in managing project timelines and tracking key milestones across fabrication and experiential projects. Support Project Managers in maintaining project momentum by coordinating material orders, tracking approvals, and following up on outstanding tasks. Help initiate and organize new projects in Google Drive while maintaining standardized documentation and file structures. Monitor project progress and proactively identify potential delays, production issues, or scheduling conflicts. Coordinate internal production schedules between fabrication, paint, CNC, graphics, logistics, and install teams. Client & Team Communication Support communication between clients, vendors, fabricators, and internal teams to ensure alignment throughout all project phases. Assist in communicating project updates, revisions, and deliverables clearly and efficiently. Help track change orders and ensure proper documentation of scope or production adjustments. Maintain responsiveness to emails, calls, and team communications within 24 hours. Production Administration & Tools Maintain and update project tracking tools including Google Sheets, calendars, and internal management systems. Assist with invoicing, contracts, purchase orders, and documentation to ensure organized project records. Support reporting efforts by compiling weekly project updates, schedules, and status reports. Familiarity with SketchUp, Rhino, or similar CAD/design software is a plus. On-Site Event & Installation Support Assist hands-on with event installations, strikes, and on-site production execution to ensure projects are completed efficiently and safely. Coordinate day-of logistics including labor, rentals, deliveries, and vendor communication. Support installation teams by helping troubleshoot issues and maintain workflow during builds and activations. Step in to assist with hands-on tasks using basic tools and production equipment when needed. Maintain awareness of overall project flow and communicate any issues or site challenges to the Project Manager. Estimating & Budget Support Assist in gathering information for project estimates including labor, materials, freight, rentals, and production considerations. Support budget tracking and help ensure project costs are documented accurately throughout production. Technical & Fabrication Awareness Develop a working knowledge of materials, finishes, and fabrication processes including carpentry, metalwork, CNC, paint, signage, and printing. Collaborate with shop teams to better understand build processes, timelines, and production constraints. Provide occasional hands-on support in the shop as needed. Qualifications Bachelor's degree in Project Management, Business, Marketing, Production, or a related field preferred. 1-3 years of experience in event production, experiential marketing, fabrication, construction, manufacturing, or project coordination preferred. Hands-on experience in carpentry, fabrication, scenic production, or live event environments is a strong plus. Strong organizational, communication, and multitasking skills. Ability to manage multiple priorities in a fast-paced production environment. Detail-oriented with a proactive and problem-solving mindset. Proficiency in Google Workspace and project tracking tools. Requirements Positive attitude with the ability to adapt and problem-solve under tight deadlines. Valid driver's license. Ability to stand, walk, bend, and lift up to 50 pounds as needed. Willingness to work evenings, weekends, and outdoors during installations and live events. Ability to travel overnight for multiple days at a time to support event setups and strikes. Work Environment Combination of office, fabrication shop, warehouse, and on-site event work. Fast-paced, collaborative environment with evolving production timelines and priorities. Occasional travel and multi-day installations required. Growth Opportunity This role is designed as a pathway into a Project Manager / Producer position.
