Flexible, based on the CEO's needs Job Description We are seeking a highly organized, proactive, and resourceful Personal Assistant to the CEO who can help manage the many moving pieces of a busy professional and family life. This is first and foremost a Personal Assistant role, but the ideal candidate will also have the communication skills, professionalism, judgment, and organizational ability to provide Executive Assistant-level support when needed. The CEO runs a busy and successful corporate consulting firm and has a demanding professional schedule while also being actively involved with her family. She needs someone who is exceptionally organized, takes initiative, follows through without being repeatedly reminded, and genuinely enjoys making other people's lives easier. The right person will be someone who naturally thinks ahead. You must be comfortable communicating professionally with the CEO's team, coordinating calendars and meetings, drafting straightforward emails, and interacting with clients, vendors, and other professionals when needed. You do not need extensive corporate experience or a college degree to be successful in this role. We are much more interested in your ability to support a busy CEO, stay organized, communicate clearly, use good judgment, and get things done. What You'll Do Personal & Household Support Manage the CEO's calendar and schedule, including personal and professional appointments, meetings, commitments, and deadlines. Coordinate travel arrangements, including flights, accommodation, transportation, itineraries, and reservations. Manage personal appointments and services, including beauty, wellness, medical, fitness, tailoring, and other lifestyle appointments. Research and source personal needs, including clothing, gifts, restaurants, activities, services, and other purchases. Coordinate household and lifestyle services, liaising with cleaners, contractors, maintenance providers, vendors, and other service professionals. Organize events and social engagements, including dinners, celebrations, parties, reservations, gifts, and event preparations. Manage personal correspondence and administration, including calls, messages, mail, packages, invoices, receipts, subscriptions, and important documents. Anticipate needs and proactively manage tasks, ensuring outstanding matters are followed up on and completed efficiently. Maintain complete confidentiality and discretion while providing professional, reliable, and flexible support across the executive's personal and professional life. Executive & Business Support While this is primarily a Personal Assistant position, the successful candidate will also provide executive-level support as needed. Manage and coordinate the CEO's calendar and appointments. Schedule meetings and coordinate availability with internal and external contacts. Communicate with the CEO's team and other administrative professionals. Draft and send routine, professional emails on behalf of the CEO. Help manage and organize requests coming into the CEO. Make or screen personal and business calls as appropriate. Coordinate local travel and occasional business travel. Assist with logistics for speaking engagements, client meetings, workshops, and other events. Take notes and track follow-up items when needed. Conduct basic research and provide the CEO with organized information to support personal or business decisions. Serve as a professional point of contact when coordinating schedules, appointments, or logistics with others. Maintain organized digital and paper files. Help document and maintain processes as responsibilities evolve. Events, Travel & Special Projects Assist with planning and coordinating business and personal events. Coordinate client and team gatherings, lunches, meetings, and other activities. Accompany the CEO to occasional events or engagements when needed. Assist with travel preparation, including packing, itineraries, reservations, and logistics. Take basic photos and videos for personal or business use when needed. Assist with simple social media tasks, such as taking photos, recording short videos, or helping coordinate posts. Take ownership of special projects and miscellaneous tasks that arise in the CEO's professional or personal life. A strong self-starter who takes ownership and follows through. Comfortable juggling personal, and business responsibilities. Flexible and adaptable when priorities change. A strong communicator with excellent grammar and professional judgment. Comfortable communicating with business professionals, vendors, team members, and other assistants. Discreet and trustworthy when handling personal and confidential information. Resourceful and comfortable researching, comparing options, and figuring things out independently. Comfortable using calendars, email, online research, and common business technology. Someone who enjoys creating order and solving problems. Reliable, punctual, and responsive. Comfortable working in a fast-paced environment where no two days are the same. Experience That Could Translate Well to This Role We are open to candidates from a variety of backgrounds.
