Job Description

We are seeking a dependable, organized Administrative Assistant to support daily operations for a technology-focused business. This position coordinates communication and administrative activities among clients, technicians, vendors, and management. The ideal candidate is comfortable using Microsoft 365, web-based business systems, email, and online calendars. Advanced technical knowledge is not required, but the ability to accurately document client requests and coordinate them with the appropriate technician is essential.
Responsibilities include:
Answer incoming phone calls and emails anddirect requests to the appropriate teammember. Record client support requests, includingcontact information, reported issues, affectedequipment or services, and urgency. Schedule remote support sessions, onsite appointments, meetings, and follow-up activities. Maintain shared calendars, inboxes, task lists, client records, and administrative documentation. Prepare, proofread, and organize correspondence, forms, spreadsheets, reports, and other business documents. Support billing by reviewing time entries, organizing receipts, preparing invoice information, and maintaining payment records. Assist with purchasing by requesting quotes, placing approved orders, tracking shipments, and maintaining vendor and warranty records. Communicate professionally with clients, technicians, vendors, and management. Protect confidential client, employee, financial,and company information. Perform other related administrative and operational duties as assigned.
Required qualifications:
Proficiency with Microsoft 365 applications and general computer use. Strong written and verbal communication skills. Excellent organization, accuracy, data-entry, and recordkeeping skills. Ability to manage multiple schedules,assignments, and deadlines independently. Comfort learning scheduling, invoicing, customer-management, and other web-based business systems. Professional phone and email communication skills. Dependable internet service and a quiet, professional remote-work environment. Ability to maintain confidentiality.
Preferred qualifications:
Previous administrative, customer service, receptionist, scheduling, or office-coordination experience. Experience supporting an IT services, managed services, or other client-focused business. Familiarity with accounting, CRM, scheduling, or project-management software.
Pay:
$40,000.00 - $55,000.00 per year
