GENERAL DESCRIPTION
Performs routine administrative support or technical program assistance work. Work involves disseminating information, maintaining filing systems, provide data entry, and receiving calls and guests. Maintains a professional and courteous demeanor in contacts with the public and other agency personnel. Works under general supervision with moderate latitude for the use of initiative and independent judgment. EXAMPLES OF WORK PERFORMED
Receive calls and direct to appropriate staff members. May receive guests and direct to appropriate staff members. Responsible for incoming and outgoing mail, deliveries, preparing mailouts, postage equipment and maintaining mailroom supplies. Responsible for daily incoming emails to centralized email address and distributing to appropriate staff members. Develops, coordinates, and maintains record keeping and filing systems. Assist in filing paperwork, moving toward electronic filing system, answer questions, research problems, and follow-up as necessary. Responsible for maintaining databases and records of soil and water conservation district information. Prepare travel reimbursements for staff members. Responsible for staff records of meetings and contacts for reporting purposes. Assist in state board meeting secretarial duties. Assist in planning and coordinating state board meetings, special meetings and conferences. Maintain agency letterheads, email signature block, and phone lists. May assist in the development of policies and procedures. Performs other duties as assigned. GENERAL QUALIFICATION REQUIREMENTS EXPERIENCE AND EDUCATION
Experience in office practices and administrative support work. Graduation from a standard senior high school or equivalent is generally preferred. Experience and education may be substituted for one another. KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of office practices and administrative procedures. Ability to transfer incoming calls to appropriate personnel, to greet and direct visitors, and to communicate effectively. Proficient in database entry and the use of the following: Microsoft Word, Excel, Access, and PowerPoint. Skill in use of copiers, fax machines, printers, calculators, adding machines, and postage equipment also required. High quality verbal and written skills are required. Ability to communicate effectively, both orally and in writing, to manage multiple ongoing projects, prioritize work, meet deadlines, implement administrative procedures; to interpret rules, regulations, policies, and procedures. Knowledge of administrative, clerical, and data entry procedures and systems. Skill in customer service. Detail oriented. Ability to be punctual. Must be able to safely accomplish moderate lifting (under 50 lbs) and moderate physical activity related to filing paperwork in lateral file cabinets. Must be able to safely and legally operate a motor vehicle. Weekly mail pick up requirement. Must have a vehicle to travel. Work hours will be until 5:00 to close office. APPLICATION PROCESS A
